Adding Diversity Attributes

To a New Supplier

  1. Click + Add Supplier
  2. In the form, find Attributes section
  3. Click to add applicable attributes
  4. Complete rest of form and save

To an Existing Supplier

  1. Select the supplier
  2. Click Edit (pencil icon)
  3. In Attributes section:
    • Click + Add to add attributes
    • Click X on an attribute to remove
  4. Click Save

Viewing Diversity Attributes

In Supplier List

Attribute badges appear on supplier cards: - Visual color-coded chips - Visible without clicking into supplier - Quick scanning of directory

In Supplier Details

Full attribute list with: - Attribute name - Color-coded badge - Edit option

In Search Results

Attribute text is searchable: - Search “veteran” to find veteran-owned suppliers - Search “minority” to find minority-owned suppliers

Filtering by Attributes

When selecting suppliers for projects:

  1. Use search to filter by attribute
  2. Visually scan for attribute badges
  3. Prioritize certified suppliers as needed

Note: Dedicated attribute filtering coming soon. Currently use search.

Verification Best Practices

Before Adding Attributes

Request documentation — ask for certification copies. Verify expiration — certifications have validity periods. Check official databases — cross-reference with certifying bodies.

Documentation to Keep

Tip: Add verification notes in the supplier’s Description field.

Maintaining Accurate Data

Regular Reviews

Schedule periodic reviews — quarterly for spot-check certifications, annually for full audit of all attributes.

Update Triggers

Update attributes when certification expires, supplier notifies of new certification, ownership changes, or verification fails.

Expired Certifications

If a certification expires: 1. Contact supplier about renewal 2. If not renewed, remove attribute 3. Note in description: “Certification expired [date]”

Compliance Considerations

Accuracy Responsibility

Your organization is responsible for verification. Caltana stores what you enter. False claims can affect your contracts.

Audit Trail

Track when attributes were added, note who verified, keep documentation externally.

Client Requirements

Different clients may require specific certification types, minimum diversity percentages, particular certifying bodies, or regular reporting. Match your tracking to client needs.

Troubleshooting

Attribute not saving

Ensure you clicked Save after adding, refresh page and check again, try removing and re-adding.

Can’t find diverse suppliers

Try different search terms, check if attributes were entered, review inactive suppliers (may have certified suppliers archived).

Attribute showing incorrectly

Verify correct attribute was selected, edit supplier and correct, check for duplicate supplier entries.
